GoCodes builds its asset management solution around Quick Response (QR) code stickers that you place on any assets you want to physically track and geolocate. Starting at $25 per month for its Standard tier, GoCodes generally works by using your mobile device to scan in the QR codes and transmitting that data back to a cloud-hosted database. From there, your desktop or mobile dashboards can locate anything to which you've attached a sticker. GoCodes doesn't offer the same level of real-time asset discovery and notification as Editors' Choice MMSoft Pulseway and lacks the installed software tracking, multifactor authentication (MFA), and scheduled asset discovery and depreciation capabilities of Asset Panda, our other Editors' Choice winner; but for those with mainly physical asset tracking needs, this is both a low-cost and highly flexible asset tracking solution. Yet, GoCodes was, by far, the easiest to use asset management service I reviewed. Its innovative sticker system offers security, affordability, and the ability to track any kind of asset—networked or non-networked, online or offline. My first impression is that, for companies with a wide variety of assets in a few locations, this solves a few issues in a unique way. Let's say you have a mobile device and tablet lab; you have Internet Protocol (IP) telephones and printers. Each person has a desktop computer and a laptop, and each group has a multifunction printer/copier. Plus, your office has specialized non-networked devices. From custom tools to lighting to an antique vase, if you can put a small sticker on it (as small as .75 inch x .75 inch), then you can locate and track that asset. You may also have sensitive prototypes to keep track of or need to locate a frequently lost item, whether a cell phone or a set of keys. GoCodes stickers provide the current location of the asset, plus the app has the flexibility to specify details about each asset, including custom information on the sticker itself and custom fields on your screen. Another advantage of a physical solution is the possibility that a lost asset will be returned by a Good Samaritan. In addition to scanning the QR code, the GoCodes website offers anyone who finds a tracked asset the ability to directly enter the number, without requiring any app downloads. Setting Up Your Assets Because you are applying physical stickers, you need to either order the tamper-proof stickers (which you can customize) from the GoCodes store or purchase the consumer-facing products on Amazon. There is a free print-at-home sticker option with the Standard version which allows you manage up to 250 assets. If you want the security of tamper-proof stickers, then order the Lite, Premium, or Enterprise package based on the number of assets you need to track concurrently. You can purchase additional stickers if you need more in the future. A free edition is offered along with a low-cost personal edition, which I would consider as a gift for that person you know who always loses their phone (but can't locate it using the Find Your Phone apps because they also don't charge it or don't notice it is gone until the battery is entirely dead). The simplicity of a physical sticker and four predefined user roles is attractive for companies that aren't necessarily focused on technology. GoCodes Premium costs $59 per month or $708 per year. Tip: It's $637 if you pay for the year upfront for 500 assets and five users, though in the Premium version there are no custom reports or application programming interface (API) access. GoCodes Enterprise is priced at $199 per month (or $2,388 per year) for 2,000 assets and 10 users, including all features such as application programming interface (API) access and phone support. Your business may also grow and you will need the ability to easily add more assets. If you need to track unusual assets that aren't just computers, servers, or network-connected devices—and the flexibility of a sticker appeals to you—then start the GoCodes trial. The other sticker order decision you need to make is which size makes sense. The standard tamper-proof stickers are 1.5 inch x 0.75 inch and can be customized with your company data as part of your order. The smaller stickers are 0.75 inch x 0.75 inch and also allow custom data. It takes about 24 hours for order processing and eight to 10 days for the stickers to arrive in most cases. There are a few other types of stickers and custom QR carriers, like luggage tags, available as well. For most business situations, the best value is purchasing a sticker package and adding your company data. Once you've ordered stickers, you can use the Web app to set up any custom tracking data you need. You can install the GoCodes mobile app to prepare for scanning. When the stickers arrive, it is time to scan, photograph, and enter each asset. For each item, you scan the QR code and can enter details in custom fields. While this process is a bit tedious, especially if one person is performing all of it, you have the ability to specifically locate each item as well as access reporting data on all of your assets—in one place. Cost and Scale You are paying based on how many assets you want to track and what type of stickers you require upfront. The cost is lower in the second year when you already have the stickers. This allows the company to scale as your needs change. GoCodes can be used as easily for projectors, luggage, shared carts, and furniture as they can for tracking software in a box. This asset management solution tells you when the assets are checked in and checked out, like in a library. It isn't going to track your software usage though. It is easy to learn and simple to understand. While the stickers identify the property, they don't seem to be easily transferable, which could impact asset resale or turnover. If you need the flexibility of GPS location and theft prevention on just about anything the business owns, then GoCodes is the best solution for you. The simplicity of scanning and cataloguing assets is key for companies without an IT staff. Be sure you do not need detailed remote access or application data inside of each computer-based asset. If more detailed software license tracking is essential, then try MMSoft Pulseway. If your company has developers or IT staff that can customize the network detection and install agents on your business computers, and you need more than a location and check-in/check-out status, then Asset Panda would be more appropriate for you. Bottom Line: GoCodes makes excellent use of secure QR stickers to build a fast, mobile-capable, physical asset tracking system that's both powerful and affordable. If you're looking to manage cloud assets, however, you may need to keep looking.
